Creating an invoice shouldn't take hours. In this guide, we'll walk you through the exact steps to create a professional, legally compliant invoice that helps you get paid faster.
Step 1: Add Your Business Information
Start by clearly identifying who the invoice is from. This builds trust and ensures your client knows exactly who to pay.
- Business Name & Logo: Add your official company name and a high-quality logo.
- Contact Details: Include your email address, phone number, and physical address.
- Tax ID: If you are registered for GST, include your 15-digit GSTIN here.
Step 2: Add Client Information
Next, identify who you are billing.
- Client Name: The individual's name or the registered company name.
- Address: The billing address of the client (crucial for determining IGST vs CGST/SGST if applicable).
- Client Tax ID: If your client is a registered business, adding their GSTIN allows them to claim Input Tax Credit (ITC).
Step 3: Assign a Unique Invoice Number
Every invoice must have a unique identifier. This helps both you and your client track payments and is a legal requirement for tax purposes.
INV-24-25-001 indicates the financial year and the sequence number. Never repeat an invoice number.Step 4: Set the Invoice Date & Due Date
- Invoice Date: The exact date you generated and issued the invoice.
- Due Date: The deadline for payment. Clearly stating this (e.g., "Due on Receipt" or "Net 30") prevents payment delays.
Step 5: Add Line Items with Descriptions
This is the core of the invoice. Break down exactly what the client is paying for.
- Description: Be clear. Instead of "Design Work", use "Website UI Design - Homepage & About Page".
- HSN / SAC Code: If required, add the Harmonized System of Nomenclature or Services Accounting Code for the item.
- Quantity & Rate: Enter the number of hours/items and the price per unit. The total for that line will calculate automatically.
Step 6: Apply Discounts and Taxes (GST)
If applicable, apply discounts before calculating tax.
If you are a GST-registered business in India, you must apply the correct GST rate (5%, 12%, 18%, or 28%). Depending on your client's location compared to yours, apply either IGST (inter-state) or a combination of CGST & SGST (intra-state).
Step 7: Add Payment Details & Notes
Make it as easy as possible for the client to pay you.
- Bank Details: Include Account Name, Account Number, Bank Name, and IFSC code.
- UPI ID: For Indian businesses, providing a UPI ID or generating a UPI QR code drastically speeds up payments.
- Notes: Add a polite "Thank you for your business!" or specific terms regarding late fees.
Step 8: Download as PDF and Share
Once everything is filled out, double-check the totals. Then, generate the invoice as a PDF. You can email this PDF directly to the client's billing department, or for quicker responses, share the PDF directly via WhatsApp.
